ABOUT GLOBAL FUND FOR WOMEN

SCOPE OF WORK

  1. The Gifts Processing consultant plays a crucial role in supporting the Development team by ensuring the accuracy and timeliness of gift processing and maintaining the integrity of Salesforce data. This role requires an experienced individual to serve as the first point of review for batches keyed by the third-party caging vendor, reconcile each entry against submitted collateral, key in pledges and matching gifts, and process weekly revenue batches with particular attention to month-end close.
  2. Serve as the first point of review for batches keyed by the third-party caging vendor; perform detailed review of each entry, reconcile against submitted collateral, note donor restrictions, and ensure transactions are linked to the correct accounts and the appropriate opportunities or pledges.
  3. Key in pledges in accordance with guidance from the Director of Development Operations or VP of Finance, in addition to reviewing submitted batches.
  4. Process weekly revenue batches accurately and on schedule, with particular attention to month-end close.
  5. Maintain the integrity of donor data by updating address, contact preferences, and contact details identified during batch review.
  6. Periodically monitor the caging vendor dashboard and key in voids for returned or voided checks.
  7. Keep batch collateral current and follow up with the appropriate staff when documentation is missing or incomplete.
  8. Flag systems issues identified during gifts processing to the supervisor and the Process and Information Management Team.
  9. Process matching gifts and soft/hard credit designations.
  10. Handle elevated volume during year-end and fiscal year-end giving surges with accuracy under deadline pressure.
  11. Safeguard the confidentiality of donor financial data in accordance with organizational policy and applicable privacy regulations.
  12. Processing weekly batches of bequest intentions from integration with a third-party wills and bequest site;
  13. Follow up on and resolve issues that occasionally arise in automated syncing of gift and donor information from online giving platform;
  14. Perform merges of donor records as needed for duplicates;
  15. Detail orientation with a strong commitment to accuracy, the core of this role is catching errors before a gift posts.
  16. Reconciliation mindset: able to match deposits, collateral, and system entries and identify discrepancies quickly.
  17. Process discipline, follows established SOPs consistently
  18. Problem-solving and pattern recognition for flagging recurring systems issues versus one-off data errors.
  19. Proficiency in a nonprofit CRM or fundraising database (Salesforce, or similar) specifically batch entry, gift coding, and pledge management.
  20. Working knowledge of the gift entry lifecycle: hard/soft credit, matching gifts, pledges, recurring gifts, in-kind and non-cash gifts, and stock transfers.
  21. Familiarity with caging/lockbox vendor workflows and dashboards

Section 3. Pricing:

Please be advised that Global Fund for Women is cost-conscious about procuring outside services. Global Fund for Women will consider a proposal that is either fixed-fee or level of effort rate subject to a maximum not to exceed fee, or other arrangement fair and favorable to Global Fund for Women.

TYPE OF CONTRACT TO BE AWARDED

12-month contract, eligible for renewal on an annual basis in perpetuity.

Approximately 5-10 hours a week, potential for more during year-end closure.

EVALUATION AND AWARD PROCESS

The award will be made to a responsible Respondent whose proposal follows the RFP instructions, meets the eligibility requirements, and meets or exceeds the minimum required technical specifications from the submission requirements, and is judged to be the best value to Global Fund for Women.

Global Fund for Women reserves the right to conduct any of the following:

  1. conduct negotiations with and/or request clarifications from any respondent prior to award.
  2. issue a partial award or split the award among various respondents, if in the best interest of Global Fund for Women.
  3. cancel this RFP at any time
