ABOUT US

Kairos is working for liberation at the intersection of technology, racial justice, and democracy. We believe we can both bring organizing into the 21st century while transforming technology and the internet into a place where everyone can thrive. To be successful, we challenge ourselves to live our values and vision as we build the world we want. Kairos is a small, nimble, and growing team. Our team consists of ten full-time staff people and a few contractors. 

PROJECT OVERVIEW

Kairos is on a mission to update and streamline our toolset for organizing, fundraising, and overall contact relationship management. Adopting EveryAction is a key part of this initiative. Given Kairos’s mission to uplift and build power with historically marginalized and oppressed communities, people of color, women, new immigrants and trans folk are encouraged to submit proposals.

We expect the scope of work to include the following activities: 

  1. Plan and configure EveryAction to meet Kairos’s needs and potentially replace current tools (including Action Network, ActionKit, spreadsheets, ActBlue). We have already been through a needs assessment and software evaluation process to make the decision to go with EveryAction; we have some documented configuration information from that process but expect that more is needed.
  2. Design and create all necessary assets within EveryAction that will meet Kairos’ needs including but not limited to (advocacy and fundraising forms, email templates for different audience segments, event templates, list management templates, etc.)
  3. Co-design with staff and document new processes for effective CRM use
  4. Collaborate with and support staff to plan and execute cleaning/transformation of data prior to import
  5. Import cleaned data into EveryAction
  6. Develop and implement a plan to fully train staff on the EveryAction
  7. Create a plan for long-term support and maintenance

ANTICIPATED TIMELINE OF ACTIVITIES

  • August 3: interest emails are due
  • August 7 – August 15: Candidate interviews
  • September 1: Partner contract begins
  • January 2026 (proposed): System training and go live
  • Ongoing: Support and maintenance

CONSULTANT QUALIFICATIONS

The right implementation partner for us:

  • Has deep knowledge of EveryAction’s functionality, capacity, best practices, and tradeoffs
  • HTML and CSS design experience
  • Experience with ActionKit and ActionNetwork, the Voter File, and Act Blue
  • Has experience working in and/or with organizations who do digital campaigns, relational organizing, and foundation fundraising
  • Is excellent at project management and client collaboration
  • Can communicate effectively about technical topics with a nontechnical audience
  • Has demonstrated ability to work with diverse teams
  • Is experienced in training end users, producing end-user documentation, and otherwise communicating with organizational staff to prepare, equip, and support everyone across an organization in successful adoption and use of new systems
