Position Title: Development and Database Coordinator
Location: Alexandria, Virginia (Hybrid, 2 days a week in office)
Classification: Full-Time; Reporting to Director of Marketing
Position Summary
The Development and Database Coordinator supports the organization’s fundraising and development efforts by managing donor data systems, processing gifts, coordinating donor communications and mailings, and maintaining departmental standard operating procedures (SOPs). The coordinator ensures accurate donor recordkeeping, timely gift acknowledgment, and the efficient execution of fundraising campaigns for an overall organizational fundraising goal of $5M-$6M annually. The coordinator works closely with other departments to assist with reporting in support of strategic goals.
Salary Range
$62K/annually, plus generous benefits, including paid time off, 14 holidays, health, dental, vision, flex spending, and access to a 403(b) retirement plan
Essential Job Functions
• Maintain and manage donor database (currently Raiser’s Edge), including data hygiene and reporting
• Track donor engagement and fundraising performance metrics
• Generate mailing lists, donor reports, and other development-related queries
• Coordinate and execute donor mailings, including appeals, thank-yous, postcards, and event invitations
• Batch and process donations, ensuring accurate entry into the database
• Prepare and send timely gift acknowledgments and tax receipts
• Provide administrative support for donor stewardship and cultivation activities
• Support grant application and reporting processes with data and documentation
• Assist with development-related communications, including reports and email campaigns
• Maintain updated SOPs for database usage, gift entry, and donor communications
Knowledge, Skills, and Abilities
• Motivated self-starter with the ability to work independently
• Strong attention to detail and excellent organizational skills
• Demonstrated experience managing projects and meeting deadlines
• Understanding of donor communications and direct mail campaigns
• Familiarity with fundraising and gift processing best practices
Job Qualifications and Competencies
• 2+ years in a nonprofit or development environment
• Proficiency with donor databases (Salesforce, Raiser’s Edge, or similar)
• Strong proficiency in Microsoft Excel or equivalent
• Proficiency in Microsoft Office and Google Workspace; experience with email marketing platforms is a plus
• Knowledge/ experience with the families of the uniformed services preferred
