Manager, Gift Operations

SUMMARY

This position will support the Senior Manager, Gift Operations in oversight of the daily financial reconciliation of the organization’s keying/caging vendor functions and in-house gift entry, ensuring organizational business rules are followed, data entry is accurate and timely, and discrepancies or other data issues are promptly identified and addressed. This role will liaise with USA for UNHCR’s Finance team on transactional reconciliation, as well as coordinate all gift-related updates and reporting necessary to support the monthly financial reconciliation and will be responsible for ensuring gift entry is complete and accurate. In this role, the Manager of Gift Operations will also oversee quality assurance processes for transactional and biographical record hygiene and will regularly coordinate with Gift Operations, Business Systems, and other staff across departments to ensure reliable processing and optimal efficiency, proactively offering recommendations and solutions that enhance existing gift entry and reconciliation processes and improvement of data quality. The Manager will also provide support with gift uploads, as needed, including managing files from our caging vendor and other third-party revenue sources.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Financial Reconciliation, Gift Uploads, and Data Quality (60%)

  • Supports gift upload process for caging vendor:

  • Ensures daily files are posted, data is accurate, and delivery is aligned with established Service Level agreements

  • Promptly notifies staff of successful data transmissions, processing delays or other changes in gift processing status that can impact teams’ work and reporting

  • Conducts weekly audits of Direct Mail gift documentation to ensure accurate entry, resolving action flags denoting the need for further staff assistance

  • Monitors rejected payment reports and resolves upload exceptions

  • Manages weekly acknowledgement file pull 

  • Oversees data quality for keyed and uploaded transactions

  • Reviews in-house gift batch entry (direct key and uploads) and troubleshoots errors in fund, source, and PSP coding, also reviews biographical data entry, makes adjustments in a timely manner

  • Develops QA processes for monitoring accuracy of transactional and biographical data entry (both direct key and uploaded data)

  • Collaborates with the Donor Care and Business Systems teams on the identification, troubleshooting and timely resolution of data integrity issues, offering recommended solutions for future improvement and assisting with data clean-up efforts

  • Supports the Senior Manager on monthly reconciliation processes with the Finance team, ensuring that all gifts are committed within 3 - 5 business days of the close of the month; provides troubleshooting support for batch exceptions, gift uploads and financial reconciliation:

  • Generates necessary gift reporting from Salesforce on a daily, weekly and monthly basis

  • Works closely with the Finance team and gift officers to ensure compliance with internal earmarking policies and IRS regulations for charitable gifts

  • Provides expertise on gift acceptance policies and procedures

  • Posts all recorded transactions and adjustments to Intacct (general ledger)

  • Supports credit card payment processing functions for monthly donors; proactively identifies and communicates errors or discrepancies


General Team Operations (40%)

  • Serves as the primary backup for the Senior Manager, Gift Operations and is cross functionally trained on all gift processing and upload functions

  • Responds promptly and professionally to assigned cases in Salesforce Service Cloud

  • Updates and maintains job knowledge by participating in educational and professional development opportunities; monitors industry trends, recommends changes to staff roles and responsibilities to follow best practices and meet changing needs and support fundraising initiatives

  • Maintains all policies and procedures manuals for the Gift Operations team and updates as necessary; manages the Gift Operations team SharePoint site

  • Manages a Coordinator level position, oversees his/her performance and fosters his/her professional development

  • Able to work in a limited capacity during the December holidays (between December 26th and January 1st)

EDUCATION and/or EXPERIENCE ·      

  • 6-8 years’ experience in gift administration, donor/customer relations, data systems, fundraising or related field

  • Bachelor’s degree preferred

  • Demonstrated experience and knowledge of applicable IRS regulations regarding philanthropic contributes and Generally Accepted Account Principles (GAAP)

  • Strong knowledge of gift processing procedures, established record of database management, fundraising processes, and donor relations

  • 2+ years of people management experience preferred

  • Must be able to organize and prioritize work, be proactive, take initiative, resolve problems, and manage multiple priorities to ensure goals are met within a timely manner

  • Demonstrated ability to work successfully under pressure and independently; able to consider processes end-to-end and anticipate downstream effects

  • Ability to work across teams to collectively achieve desired results

  • Very strong communication skills, both written and verbal

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)

WORK LOCATION

Hybrid + Washington, DC + May also involve travel to some locations within the company’s region of operations and select donor locations.

COMPENSATION

$76,161 - $95,201
