Database Specialist, Philanthropy

Hours of work: Standard Monday–Friday workweek, 8am–5pm. Occasional need for weekend or after-hours work as related to philanthropy events and other projects. This position works a hybrid schedule with two onsite days each week including Wednesday. Specific schedule to be determined upon hire.

Position description:
The Seattle Aquarium, a leading marine conservation organization, is looking for a Database Specialist to join the Philanthropy team. The Database Specialist contributes to the success of the philanthropy department’s fundraising goal by ensuring the effective and efficient flow of data to and from the Aquarium’s donor database. A successful candidate will help lead efforts to improve the department’s access to high quality and accurate data sets and contribute to data maintenance for improved donor customer service. A successful candidate must have a high attention to accuracy and detail, service-oriented mentality, sense of project ownership, focus on managing and resolving issues, and have a thorough understanding of relational systems and awareness for system integration.
Key functions:
Data Integration Management (70%)
- Ensure regular and accurate data imports from a variety of sources into Raiser’s Edge. Sources will include:
- ACME
- Windfall
- Volunteer database
- Classy
- Eventbrite
- MailChimp
- Manage import processes at scale for the philanthropy department
- Assess in place processes and recommend improvements for more seamless data management.
- Manage import processes into the CRM in collaboration with Volunteer department to ensure thorough data capture
- Create and document new import processes as new platforms come online.
- Perform tasks and generate queries to support database integrity for data analysis and stewardship activities.
- Facilitate Raiser’s Edge improvements for all database users.
- Partner with IT and Membership to ensure systems relay information to and from the philanthropy database.
- Manage process around mailing lists for regularly scheduled philanthropy communications.
Data Integrity Improvement (30%)
- Manage record audits throughout Raiser’s Edge
- Actively review and address duplicate records on an ongoing basis.
- Monitor for and correct incomplete records.
- Audit for redundancies and make recommendations to reduce instances of incomplete or duplicated data.
- Facilitate event data tracking for philanthropy events including pre-and post-event data transmission between databases.

Required skills and experience:
The skills and abilities listed below may be demonstrated through a combination of relevant cultural and community programs, jobs, internships, volunteer experience, and/or formal or informal education.
- Expertise with relational databases, preferably in a non-profit setting or philanthropy department
- High level of proficiency with all Microsoft Office programs and demonstrated ability to learn new software quickly. We use ACME, Raiser’s Edge, Classy, iWave, Windfall, Greater Giving and Importmatic.
- Attention to detail – accuracy is paramount to our operations.
- Displays ownership through initiative, follow-through, accountability and commitment; Ability to work with little supervision.
- Consistent and proactive communication, verbally and in writing. Includes working with philanthropy team, presenting training, working with volunteers etc.
- Project management focus: experience setting timelines, communicating expectations to a project team and following up when appropriate.
- Ability to organize and prioritize large volumes of work to ensure completion within deadlines.
- Demonstrates an understanding of the Aquarium’s Mission and Values, including Regenerative and Equity work.
Working conditions:
- Majority of work is performed in a typical office setting at a computer workstation for the duration of your shift; Semi-private work area.
- Frequent interruptions; walking, standing, sitting for extended periods of time. Some exposure to elements as employees are located in campus environment with multiple buildings, outdoor and semi-covered areas.
- Also requires duties to be carried out in exhibit areas for philanthropy events.
- Traveling/moving between Aquarium buildings in all types of weather.
- Must be flexible for some evening, early morning or weekend hours for event support, with notice.
Pay and benefits: $28.00 - $33.00/hour. Dependent on experience. Please include pay expectations in your materials.
