Database and Development Operations Manager

Reporting to the director of research and development operations, the database and development operations manager will be a critical member of the Health Equity International (HEI) development team and the organization as a whole. This collaborative role will oversee the management of Raiser’s Edge NXT including data entry, the gift acknowledgment process, the Annual Celebration pledge and donation process, webinar and event support, and other related duties.  

Additionally, this individual will support the president’s calendar management and serve as the main point of contact for phone and email monitoring, board administration, and board meeting minutes. This individual will work closely with the director of research & development operations, the director of communications, the finance team, senior leadership, and the board of directors. The ability to be organized, prioritize work and commitments, offer sound judgment, and utilize well-honed problem-solving skills are essential to this role.  

This position is full-time, non-exempt, and benefits-eligible. 

This is a hybrid position, and the individual in this role must be able to travel to Newton, MA, on Mondays and Thursdays. Parking is free and the office is within walking distance of the Newton Centre Green Line T station (D line). 

Essential Functions and Responsibilities  

  • Provide administrative support to the president, staff, board, and office as needed 
  • Manage the RE NXT database following best practices for gift processing, coding, tracking, and reporting 
  • Manage the gift acknowledgment process, including preparing and printing acknowledgments and staying up to date on RE NXT mail functionality 
  • Produce and maintain a suite of reports that provide insights into dollars raised, constituency participation, engagement insights, annual fund metrics, annual report donor lists, and other metrics and lists as needed 
  • Function as the knowledge expert for RE NXT and assist with the creation of policies and procedures around its use 
  • Update and maintain constituent records in RE NXT  
  • Evaluate and continuously improve data integrity, including input procedures. Establish standard routines for checking the accuracy and completeness of data. 
  • Manage imports/exports of data, mailings, mail merges, and data entry  
  • Provide administrative and logistical support for Annual Celebration and other in-person and remote events including registering and managing attendees, procuring goods and supplies, creating and running AV, and other duties as needed 
  • Other duties as required 

Qualifications  

  •  Three years minimum of work experience in the development field are preferred
  • High proficiency with Raiser’s Edge NXT, Microsoft Office, Word, Excel, Google Workspace, and Smartsheet. Experience with data visualization preferred
  • Ability to work both independently and as part of a team to establish and build effective working relationships with board members, hospital leadership, and outside vendors
  • Must be able to meet deadlines, balance multiple projects, and be highly detail-oriented
  • Be willing to occasionally address situations on short notice that require immediate action   
  • Availability during evening hours for quarterly board meetings, the Annual Event, and occasional online and in-person events
  • Have enthusiasm for working with a collegial, nimble team in a flexible work environment who have a deep commitment to our patients and hospital staff in Haiti
