The Role
The Salesforce Data Administrator is responsible for managing both The Academy Group and Amplify’s Salesforce instances. This entails managing all aspects of data collection, data entry quality control and supervision, data reporting and dashboard customization, data structure, and data security. The Salesforce Data Administrator works closely with the Director of Continuous Improvement, the Chief of Strategy and Innovation, and other Executive Team members to ensure that all team members inform their practice with accurate and timely data. The Salesforce Data Administrator will be in charge of keeping data clean, facilitating systems for good data practices by staff, and managing systems for collecting and storing our program data, such as Salesforce and Form Assembly. Additionally, they will assist with core organizational data reporting needs.
Knowledge, Skills, Abilities and Personal Characteristics
Primary Responsibilities
Data Management:
- Monitor and track timely, complete, and accurate submission of data across The Academy Group and Amplify in accordance with the organizational data collection and reporting cadence
- Conduct an ongoing audit of Salesforce data integrity and historical accuracy; to ensure it is historically accurate; Manage data imports and support data cleansing and migration efforts as needed
- Manage student attendance records for AG Core School Year and Summer Program, including monthly attendance reports to the Executive Director
Data Reporting
o Complete scheduled data reporting and analysis to team members in accordance to the cycle, including Saturday program reports, Opportunity (monthly) reports, and other ad-hoc reporting as needed
o Work with the Director of Continuous Improvement and Chief of Strategy and Innovation to conduct analysis of program outcomes in order to support team meetings, planning, and improvement
o Prepare additional data reports and/or analyses as requested by The Executive Team
o Conduct and report light research to support market landscape analysis as The Academy Group and Amplify continue to expand
o Assist team with streamlining
Data Systems: Salesforce Administrator
o Serve as the Salesforce Administrator for two separate Salesforce instances (Academy Group and Amplify), including the configuration and maintenance of flows, custom objects, fields, user management, contract licenses, and data flow management. For more complex builds, liaise with Salesforce Contractor to scope, complete, and deploy builds to production.
o Work with the Director of Continuous Improvement and Chief of Strategy and Innovation to identify, prioritize, and scope additions or changes to the Academy Group and Amplify Salesforce instances, in alignment with organizational strategy and annual organizational goals.
o Work across departments to understand team needs; develop, test, and implement solutions; and train team members on usage.
o Develop, customize, and maintain organizational and departmental reports and dashboards that track progress to goals and individual team member performance metrics
o Conduct analysis of team Salesforce usage capabilities and opportunities for growth; Provide onboarding sessions, training, and day-to-day user support and troubleshooting such that all team members can maximize the Salesforce instance
o Set up and manage program data collection tools in Salesforce, including grade books, attendance sessions, managing and processing weekly program surveys
o Where appropriate, document data-related processes, workflows, and training materials to strengthen organizational knowledge
o Work with the Finance Department to ensure accurate tracking and maintenance of all student financial distribution records, including financial accounts, stipend, and scholarship payments
o Manage system backups and processes for data security; Stay informed about Salesforce enhancements and releases
o Participate in training sessions both independently and with our Salesforce consultant to deepen your skillset
Portal Administration
o Work with the Recruitment Team to generate new student portal accounts and train new families in portal use
o Maintain portal calendar, pictures, and updated staff bios
o Ensure all required Form Assembly forms are created, tested, and added to the AG portal, including field journeys, enrollment forms, and report card forms; Maintain the form directory in Form Assembly
o Work with members of the program team to establish timelines for academic data submission; Use Salesforce to monitor and report academic report card and transcript submission and verification
o Work with the Director of Continuous Improvement to coordinate the building and distribution (via the portal) of student and family surveys
High-level role qualifications
o Bachelor’s degree in Data Analytics, Computer Science, Information Technology, or equivalent combination of education and experience
o 2+ years' experience in Salesforce administration and customization of the platform
o Understanding of Salesforce automation best practices
o Salesforce Administrator Certification and / or Salesforce Certified Platform App Builder and / or comparable experience required
o Demonstrated understanding of system configuration, customization, and maintenance, including familiarity with Flow, DLRS rollups, complex permission sets, etc required
o Experience with Nonprofit Success Pack (NPSP) and Form Assembly preferred by not required
o Data visualization utilizing Tableau, Power BI, or other data visualization software preferred; strong quantitative and analytical skills required
o Experience working with a range of data sets; sensitive and/or confidential, small to large, complex and/or administrative data
o Strong communication skills and ability to present to various stakeholders of varied technical backgrounds
o Flexibility to adapt to changing needs in order to best support AG’s mission and ability to interpret, prioritize, and translate team data needs to optimize our data system
o Ability to pull actionable insights from complex data and translate these effectively through powerful written and verbal communication and data storytelling
o Ability to collaborate with team members across programs and departments to strengthen understanding of program goals, evaluation of data systems, and design of cross-department data solutions that support the broader team
o Works effectively and efficiently, both virtually and in-person, independently and as part of a team
Location
This position will be based in Chicago (900 N. North Branch Street). The role is hybrid and work from the office is required Tuesday through Thursday.
