Job Title: Ops/Tech Solutions Specialist (Contractor)

Location: Remote (U.S. residents and/or authorized to work in the U.S.)

Status: Contract (no healthcare or retirement benefits)

Hours: Part-time: 60-100 hrs/month. Six-month contract to start, with a preference for a longer-term extension.

Compensation: $50-55/hr + $250/yr professional development stipend.

Job Description: Solutions Specialist

A to Be Partners, LLC (ABP) is a dynamic, small consultancy dedicated to empowering nonprofits with tailored fundraising services, helping organizations of all sizes achieve their missions. We are seeking a highly organized and tech-savvy Solutions Specialist to manage our operations, collaboration systems, and technology initiatives. A core responsibility of this role is maintaining and optimizing our CRM system, hosted on Airtable, to ensure seamless communication and efficient workflows across the team.

Key Responsibilities  

Operations Management 

  • Oversee day-to-day operational processes to ensure smooth business functions. 
  • Monitor and improve internal workflows to enhance productivity.  
  • Maintain team calendars and scheduling tools (e.g. Zoom, Calendly), and coordinate schedules for internal and external meetings. 
  • Onboard and offboard associate contractors and ABP clients.
  • Update and maintain standard operating procedures and operations manual(s) for various workflows and technology

Collaboration Systems & Technology

  • Manage and optimize the CRM system (Airtable) to meet the team’s needs, including data organization, quality assurance, reporting, and integrations.  
  • Troubleshoot technical issues across the tech stack, and provide training and/or responsive support for team members on collaboration tools.  
  • Recommend and implement technology solutions to improve operations and communication.  

Administrative Support  

  • Organize and maintain digital files, ensuring secure and easy access for team members—Troubleshoot issues when they arise.
  • Manage permissions and access within shared systems to uphold data privacy.  
  • Draft meeting agendas for the monthly ABP and Operations & Systems team meetings.  

Qualifications

  • Proven experience in operations, systems management, or a related role
  • Proficiency with Airtable or similar CRM/database platforms
  • Strong organizational and project management skills
  • Excellent written and verbal communication abilities
  • Comfortable working independently and in a remote team environment
  • Strong research and analytical abilities
  • Familiarity with Google Workspace, Zoom, and project management software (i.e. Asana)

Desired Qualifications

  • Experience working with nonprofits or a background in fundraising
  • Knowledge of data privacy and cybersecurity best practices
  • Ability to think proactively about technology needs and solutions, and adapt to different systems
  • Ability to communicate with, and create and deliver training materials for, non-technical users
  • Familiarity with Portland/Oregon/Pacific Northwest nonprofit and funder landscape encouraged but not required

Expectations for the First 90 Days

First 30 Days

  • Gain a deep understanding of ABP’s mission, values, culture, and workflows.  
  • Build a Client Portal associated with the current CRM system (Airtable), identifying areas to facilitate internal workflows. 
  • Cultivate relationships with team members to understand their collaboration needs.  

First 60 Days 

  • Implement initial improvements to the CRM system based on team feedback.  
  • Update the CRM training guide and lead training sessions during team meetings as needed to ensure associates maximize their use of Airtable.  
  • Continue documenting standard operating procedures (SOPs) for key systems and processes.  

First 90 Days

  • Establish a regular maintenance plan for the CRM and other collaboration tools.  
  • Propose and execute at least one technology or operations enhancement project.  
  • Complete a review of organizational workflows and recommend further optimizations.
