ABOUT THE POSITION
The Assistant Director of Data Solutions and Architecture is responsible for establishing, managing, and developing the development department database systems. A member of the Development Operations and Digital teams, the Assistant Director of Data Solutions and Architecture will work primarily in the Salesforce platform and should have a strong knowledge of data management/CRM systems in general. They are accountable for ensuring high-quality data capture, gift and financial transaction processing, record-keeping on donor giving and relationship history, financial reporting and reconciliation, and database systems administration. They develop scalable strategies to support fundraising efforts for gift officers and portfolio managers in the Salesforce ecosystem. They create reports for the Development Department, the Finance Department, the digital team, and senior leadership team.

This full-time position reports to the Director of Development Data Systems and Operations.

THE IDEAL CANDIDATE
The Ideal candidate will have seven or more years of progressively responsible experience with database management. This role will oversee and lead several buckets of work, so the ideal candidate will be detail oriented with a strategic eye on the larger vision. The ideal candidate will be a team player who skillfully works across departments with fundraisers, communications, and program colleagues. The ideal candidate will be a thought partner and leader, with a passion for collaboration and continuous learning.

ESSENTIAL JOB FUNCTIONS
DONOR DATA MANAGEMENT, ONLINE AND OFFLINE GIFT CODING, FINANCIAL RECONCILIATION

  • Leads the management and integrity of a growing database of over 1.5 million accounts including 300,000 active donors and 160,000+ transactions per fiscal year.
  • Maintain Salesforce users, data security, and their permissions. Keep in compliance with storage limits.
  • Designs and builds data entry systems including check, stock, EFT, crypto, and batch gift entry.
  • Enter batch gift data in a timely and accurate manner and communicate with finance on regular reconciliation.
  • Ensure that all gift processing and record-keeping is conducted in compliance with best practices and IRS regulations.
  • Provide regular financial reporting, reconciliation and analysis.
  • Create and maintain Salesforce infrastructure to code all donations entering the database.
  • Monitors and addresses potential fraud from digital donation platforms. Creates strategies and builds infrastructure with Fundraise and Stripe to reduce fraud.

DATA ARCHITECTURE STRATEGY, DATA-DRIVEN FUNDRAISING ARCHITECTURE

  • With the Director of Development Data Systems and Operations, devises strategy for data-driven fundraising. Creates, builds, and owns Salesforce and technical solutions allowing donor stewards to manage and segment large portfolios.
  • Works closely with the digital communications team to ensure that technical solutions are in place for scalable gift processing and accurate coding.
  • Designs and builds dynamic infrastructure based on the needs of gift officers and giving areas. This includes responding to changes in longtime fundraising infrastructure and updating it for current needs.

DEPARTMENT SUPPORT, DIGITAL SUPPORT, DATA INTEGRITY

  • With guidance from the Director, support clear data standards, protocols and process documentation for all Salesforce and Data Processes.
  • Create complex reports and segmentation for online and offline stewardship.
  • Develop consistent and accurate reports and dashboards for the Development Department, Digital Team, and Senior Leadership.
  • Import/export data to and from Salesforce from other systems.
  • Proactively work on continuous data quality improvements, including regular de-duping, field audits, to ensure accuracy of donor records.
  • Be well versed in third-party applications used in the Salesforce ecosystem as a backup for the Director of Development Data Systems and Operations.
  • Develop and implement Salesforce Engagement Plans to support fundraising for major donors.
  • Manage prospect research data including Donorsearch and data from outside consultants. Integrate prospect research data into Salesforce and stewardship reports.

AUTOMATION, PRODUCT DEVELOPMENT

  • Write and maintain new Salesforce automation using workflows, NPSP customizable rollups, and Flow.
  • Develop and execute solutions for new and existing marketing and fundraising products added to the Salesforce ecosystem.
  • With the Director of Development Data Systems and Operations and the digital communications team, creates strategy and spearheads new initiatives to improve gift coding and segmentation in order to enhance digital and offline fundraising efforts.
  • Proactively work to optimize our Salesforce instance, staying abreast of latest developments with Salesforce.
  • With the Director of Development Data Systems and Operations, create and develop quarterly product roadmaps to ensure the most accurate and usable Salesforce instance possible and mitigate the need for Salesforce consultants.
  • Support the Director of Development Data Systems and Operations with the implementation for new technology products including but not limited to fundraising platforms, email programs, and integrations.

INNOCENCE PROJECT STORE MANAGEMENT, DONOR SERVICES BACKUP

  • Oversees financial reporting and the technical backend of the store.
  • Oversees inventory ordering.
  • With finance, prepares and files state taxes for Texas and New York.
  • Manages requests from donors and patrons of the store including refunds, returns, and shipping issues.
  • Creates strategy around store campaigns including but not limited to promotions, inventory, and additional donation sources from the store.
  • Serve as back-up for the Development Operations team.

QUALIFICATIONS & EXPERIENCE

  • Bachelors’ degree preferred, or equivalent work experience
  • 7 years of database experience, including building queries and reports, importing and exporting data.
  • Salesforce Administrator Certification required
  • Experience and knowledge of Salesforce Classic
  • Experience with data mass import software, preferably DemandTools
  • Proficient in data manipulation, strong Excel skills and experience working with data sets.
  • Preference for experience with any of the following: Pardot, Funraise, Strive, Formstack, Shopify, Quorum, Tableau, DonorSearch, Zapier, Flow, Stripe
  • Must be legally authorized to work in the U.S.
