Overview:

The Publications Coordinator independently coordinates the day-to-day aspects of publications work assignments. This person provides excellent support and customer service in responding to daily requests for editing, design, and production of a wide range of communications and publications. They implement procedures and practices in assigning and monitoring a high volume of projects (@ 150 active requests on average) through project management software (Workfront) to achieve timely delivery of communication products.

Responsibilities:

  • Monitor project management software daily
  • Open new requests, communicate with clients to ensure project details are defined, and assign a step-by-step schedule
  • Coordinate with team members to assign tasks and problem solve scheduling conflicts
  • Provide status reports at weekly project meetings
  • Collect data and create reports from project management software
  • Consult with supervisor to solve problems and expedite important urgent deadlines
  • Work closely with the procurement department to order, track and receive materials to ensure all items arrive in a timely manner
  • Provide administrative support as needed to Sr. Manager
  • Communicate effectively and maintain positive, courteous, supportive, and professional working relationships
  • Contribute to the customer service-oriented atmosphere within the department and serve as liaison to other departments and program coordinators when needed or requested
  • Support GECO team events and programs through administrative duties as assigned by the GECO Administrator

Required Qualifications:

  • 5 years’ related experience
  • Ability and judgment to make procedural decisions
  • Knowledge of publication and production process preferred
  • Highly organized with keen attention to detail and ability to prioritize multiple responsibilities
  • Strong software skills with experience in project management software and ease with using technology
  • Highly motivated, energetic, independent self-starter with strong service orientation
  • Strong interpersonal and communication skills and the ability to work effectively with a wide team
  • Ability to interact with staff in a fast-paced environment, remaining flexible, proactive, resourceful and efficient
  • High level of professionalism and confidentiality
  • Experience using project management system such as Workfront or Basecamp preferred
  • Strong Microsoft applications knowledge (Word, Outlook, Excel, Access, PowerPoint, Microsoft Project)
