Job Summary:

The Operations Manager provides operational, financial, and database leadership to Kenya Keys.
The is a growth need role.  The organization is going through a transition form the founder based organization to a staff and board based organization.

This position must be independent, focused, and self-directed, while also very detail-oriented. The Operations Manager must be a problem solver and be able to work with all staff, contractors, and partners within their role.  The position works independently to manage office administrative tasks and supports the work of the Executive Director, Program Director, and Development Director as needed. Position reports to the Executive Director.

Duties and Responsibilities:

Operational:

    • Follow all internal procedures, policies, and structures required to create an efficient and effective working environment.
    • Coordinate and Integrate Laptop program with IT consultant.
    • Coordinate Intern team travel logistics with travel agent and local leadership.
    • Support program and development teams with requests for information and analysis of that information.
    • Demonstrated proficiency to find and access necessary information quickly and efficiently.

Financial:

    • Bookkeeping for the organization including inputting all income and expenses into Quickbooks
    • Work with finance consultant and ED to complete regular financial reports, annual financial audit, and tax returns.
    • Preparation of monthly finance reports for Board Finance Committee and ED, liaison between organization and finance consultant.
    • Support of Paychex payroll processes including timesheet creation, distribution, tracking, input into payroll system, adherence to payroll deadlines, and oversight of payroll expenditures including payroll fees and employer taxes, moving report into Quickbooks.
    • Support of major funding contracts, including invoicing and recipts, supporting the reporting requests of the Board Finance Committee and development efforts.
    • Perform approved wire transfers through Wells Fargo Bank wire services.
    • Support annual budget development, tracking, and reporting.
    • Proficiency in managing and reconciling diverse nonprofit funding streams

Database:

    • Demonstrate proficiency in Airtable,  or similar cloud-based database platform.
    • Oversee and enter when necessary all database data for donors, students, and other information into Airtable for use by teams in US and Kenya.
    • Create data views and reports that allow staff to observe specific data in an appropriate format for decision-making and reporting needs.
    • Work with IT consultants to integrate Airtable with other system platforms for ease of use, accuracy, and communication.
    • Train and support Kenyan team in use of Airtable database.
    • Other duties as assigned

Desirable Skills & Qualifications: 

    • At least 3 years of working experience in a similar role.
    • Work well with people in various communities, institutional and governmental organizations.
    • Cultural competency to work with individuals from diverse and international backgrounds.
    • Working proficiently in QuickBooks Online and other relevant office/finance software. An understanding Quickbooks Enterprise or Desktop will be helpful.
    • Work in a team environment with minimal supervision.
    • Flexible hours as we meet and work with our Kenya Staff with 9-10hrs time difference.
    • Experience in meeting facilitation, and/or community relations.
    • Ability to work independently, be flexible, and manage multiple priorities.
    • Work well in a team-oriented environment and maintain harmonious relationships.
    • Proficient computer skills, especially using Slack, Airtable, Word, Excel and Google Suite of applications.
    • Detail-oriented with excellent communication, organizational, interpersonal, and writing skills.
    • Experience with public speaking and presentations.

Physical Requirements & Work Environment: Must be flexible working in a fast-paced, non-profit environment. Experience or interest in education and non-profit efforts is a plus. This position works both in the US administrative office and on occasion at program sites in Kenya. Must be willing to use personal equipment such as cell phone and laptop/tablet when working remotely.

Salary & Schedule:

    • Commensurate with experience.
    • Exempt position.
    • Position is expected to work at least 40 hours weekly.
    • Candidate must be open to work a flexible schedule, including some evenings and weekends.
