The American Civil Liberties Union of Washington (ACLU-WA) is seeking a detail- and process-oriented people person to help advance our cause. The Operations Associate is critical to supporting the operational and administrative functions of the office and ensuring an effectively run and well-organized workplace for its 45+ staff. This position will report to the Operations Coordinator.
The ACLU of Washington is a leader among state affiliates of the American Civil Liberties Union, the country’s premier guardian of liberty. We work in courts, legislatures, and communities to protect and extend American rights to freedom, fairness, and equality. The ACLU is both nonprofit and nonpartisan. This role is part of the IT, HR, and Operations Teams and is led by the Deputy Director. As the backbone of the organization, we work as a team to support our staff and understand that advancing racial justice starts internally through the vendors we select, the policies we create, and the culture we build.

As an organization, we value working together and look forward to when we return to our office. Until then, we provide laptops and technology support to do our best work even from our homes. You will need an effective WiFi connection and a way to reach you by phone. This position is eligible for either a work phone or phone stipend, as well as an additional $100 stipend each month to help cover any additional costs of working from home.

  • Participation in ACLU-WA’s race equity work. This may include utilizing ACLU-WA race equity tools, adopting ACLU-WA race equity practices, serving on the Race Equity Team or subcommittees, etc.
  • Help maintain a positive, respectful, and welcoming environment for employees, interns, and volunteers.
  • Additional responsibilities as assigned.

Front Office Management

  • Manage incoming calls and emails to the office, respond to inquiries from the general public, and direct inquiries appropriately. Provide information and refer callers to resources when possible.
  • Retrieve and distribute mail; receive and sign for deliveries.
  • Monitor, order, and distribute office supplies. Manage the supply room.
  • Organize and keep neat all common space areas, including lobby.
  • Serve as point of contact between volunteers, community partners, and other ACLU departments.
  • Manage all-office calendar items and schedule meetings as requested.
  • Help staff with inter-office events (set-up, food ordering, etc.) as needed.

Team & Office Project Management

  • Support the Operations Department and HR team. Keep track of team-specific projects, create agendas for meetings, and take notes as needed.
  • Implement, monitor, and evaluate projects to improve work culture and office operations.
  • Compose correspondence on behalf of the team.

Facilities Coordination

  • Act as liaison with building management and vendors. Oversee facilities services and maintenance activities.
  • Take ownership to resolve administrative and facilities-related problems.


  • Ideal candidates will have an awareness of, and willingness to engage in, the difficult and transformative work of challenging systems of oppression, institutional and structural racism, and implicit bias.
  • Prior administrative and operations experience required, preferably related to non-profits. This includes, but is not limited to experience in office, retail, volunteer, service industry, etc.
  • Excellent organizational skills required. Ability to create systems, handle multiple projects, and see them through. Strong attention to detail and follow-through are a must.
  • Experience with respectful and compassionate customer service is a must.
  • Excellent interpersonal skills; the ability to develop and maintain good working relationships with visitors, volunteers, staff, and external contacts over the phone, by email, and in person.
  • Proven ability to communicate with an empathetic, trauma-informed lens to support a wide array of interests, skills, and concerns from a range of backgrounds and lived experiences.
  • Effective written and verbal communication skills to aid in developing internal communications, policies, etc.
  • Computer and technology proficiency including mastery of MS Office Suite and Adobe Acrobat Professional, or proven ability to troubleshoot and learn new software.
  • Experience working with organizations supporting people who have been historically and systematically disempowered preferred.
  • Proficiency in a language other than English spoken by the communities we serve is a plus. (Examples are Arabic, Cantonese, Korean, Mandarin, Somali, Spanish, Tagalog, Vietnamese, and others.)
  • An understanding of the goals and mission of the ACLU.

The ACLU-WA’s staff of 45+ employees and numerous volunteers generally work in a standard office setting in downtown Seattle between the hours of 9am and 5pm. The physical demands and work environment described below represent those required and encountered by an employee to perform the essential functions of this job. The ACLU of WA is dedicated to centering equity in all aspects of the organization and, as such, has adopted a salary scale for measuring how to best compensate its employees. The salary for this position is $50,420. For purposes of calculating overtime, the hourly rate of pay is $27.70. Non-exempt employees observe a 35-hour workweek with a 1-hour lunch break.

Benefits include three weeks of vacation, thirteen sick days, fifteen holidays, fully paid employee medical, dental, vision, and disability insurance, a generous retirement plan, and an ORCA card, the regional transportation pass.
