Position Summary
Our dynamic team at Panorama seeks an Office & Operations Coordinator to contribute to the smooth functioning and efficiency of our organization in a time of change and growth. We are looking for a detail-oriented problem solver who values being part of a team.

Reporting to the Systems and Process Administrator, this new position will be a part of the Finance & Operations team but work across all departments at Panorama.

This is a full-time position and the person in this role will be required to work in person at Panorama’s office in Seattle, Washington.

Essential Duties & Responsibilities
Operations/Systems Support 

  • Triage systems support requests
  • Manage new user account set up and deactivation
  • Manage and update software and hardware inventories
  • Oversee Intranet updates and knowledge management policies
  • Manage billing and serve as the backup administrator for organization-wide software and subscriptions and ensure expense allocation to correct program/budgets
  • Manage regular Salesforce data clean up tasks and data import/export requests
  • Conduct systems trainings for new employees during onboarding
  • Conduct research projects for new integrations or new systems
  • Support ongoing systems projects as needed
  • Provide ad hoc operational and administrative support as needed

Office Support 

  • Provide office IT support (including troubleshooting issues with printers, Wi-Fi, video conferencing) and coordinate with Panorama’s external IT service provider as needed
  • Maintain an orderly office by overseeing supply needs and placing supply orders,  managing office inventory list, maintaining a clean and well-stocked kitchen, and updating the office guide as needed
  • Welcome external guests and employees who have never been to the office, including coordinating with the People & Culture department to collect vaccination attestation forms for visitors
  • Oversee and assist staff in the use of ‘hot desks’ and room booking
  • Coordinate in-person events in the office (retreats, lunches, etc.)
  • Collect office mail and distribute it to appropriate staff, including collecting and depositing checks
  • Send weekly office newsletter to Seattle-based staff
  • Coordinate with the People & Culture department and Interplay to collect and distribute equipment during on- and off-boarding processes
  • Coordinate with the building facilities contact as needed for maintenance
  • Monitor and field requests from the info@panoramaglobal.org and voicemail inboxes

Typical Knowledge, Skills, and Abilities

  • Interest in learning about business operations as well as software applications and systems used by non-profits
  • Ability to take initiative, problem-solve and work both independently and in a collaborative environment
  • Experience balancing competing priorities, adapting to changing deadlines or priorities, and identifying when to escalate an issue
  • Able to work in a dynamic environment, while maintaining close attention to detail and striving to build efficiencies
  • Interest in continuous learning both in personal and professional growth with a commitment to diversity, equity, and inclusion
  • Working knowledge of Microsoft Office products (and Excel in particular)
  • Fluency in written and spoken English

Desired Qualifications

  • Demonstrated passion for social impact issues, and interest in non-profit administration
  • Knowledge and experience with Salesforce, Asana, and Harvest is welcomed
  • Additional language proficiencies welcomed

Compensation & Benefits
The starting salary for this position is $55,000 alongside a comprehensive benefits package including:
